Open a blank Word document<\/h3>\n\n\n\n<p>The first step is to open a <strong>Blank document<\/strong> in Word where our org chart will come to life. <\/p>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img decoding=\"async\" loading=\"lazy\" width=\"1000\" height=\"635\" src=\"https:\/\/venngage-wordpress.s3.amazonaws.com\/uploads\/2024\/02\/word-blank-document.gif\" alt=\"word blank document \" class=\"wp-image-82643\"\/><\/figure><\/div>\n\n\n<h3 class=\"wp-block-heading\">Step 2 &#8211; Insert a SmartArt org chart template&nbsp;<\/h3>\n\n\n\n<p>Once you have a blank canvas ready, click \u201c<strong>Insert<\/strong>\u201d and select the \u201c<strong>SmartArt<\/strong>\u201d option.<\/p>\n\n\n\n<p>A SmartArt graphic menu should open and prompt you to select a type of visual to insert.&nbsp;<\/p>\n\n\n\n<p>For org charts, click the \u201c<strong>Hierarchy<\/strong>\u201d option. Once you do this, Word will ask you to choose one of its 15 customizable organizational chart templates.&nbsp;<\/p>\n\n\n\n<p>Here are a few types of org chart templates Word offers:<\/p>\n\n\n\n<ul>\n<li>Name and title org chart<\/li>\n\n\n\n<li>Horizontal org chart<\/li>\n\n\n\n<li>Labeled hierarchy chart<\/li>\n\n\n\n<li>Picture organization chart<\/li>\n<\/ul>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img decoding=\"async\" loading=\"lazy\" width=\"1000\" height=\"666\" src=\"https:\/\/venngage-wordpress.s3.amazonaws.com\/uploads\/2024\/02\/insert-smartart-org-chart-microsoft-word.gif\" alt=\"insert smartart org chart microsoft word\" class=\"wp-image-82649\"\/><\/figure><\/div>\n\n\n<h3 class=\"wp-block-heading\">Step 3 &#8211; Add text to your organizational chart&nbsp;<\/h3>\n\n\n\n<p>Once you\u2019ve inserted an org chart template, it\u2019s time to give each box context.&nbsp;<\/p>\n\n\n\n<p>To add text to each box on an organizational chart in Word, click on the box and type the information.<\/p>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img decoding=\"async\" loading=\"lazy\" width=\"1000\" height=\"635\" src=\"https:\/\/venngage-wordpress.s3.amazonaws.com\/uploads\/2024\/02\/add-text-org-chart-word.gif\" alt=\"add text org chart in word\" class=\"wp-image-83092\"\/><\/figure><\/div>\n\n\n<p><strong>Tip<\/strong>: If you want to do this faster or add text in bulk, click on the &#8220;<strong>Expand Text<\/strong>&#8221; pane option. This will open a text panel where you can type all your information for each hierarchy level.&nbsp;<\/p>\n\n\n\n<p>As you add text, you&#8217;ll see changes reflected in the corresponding boxes.<\/p>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img decoding=\"async\" loading=\"lazy\" width=\"1000\" height=\"666\" src=\"https:\/\/venngage-wordpress.s3.amazonaws.com\/uploads\/2024\/02\/add-text-org-chart-window-pane.gif\" alt=\"add text org chart Word window pane\" class=\"wp-image-83096\"\/><\/figure><\/div>\n\n\n<h3 class=\"wp-block-heading\">Step 4 &#8211; Add, remove, or reposition nodes in your org chart&nbsp;<\/h3>\n\n\n\n<p>If you\u2019re happy with the default template Word provides and don\u2019t need to make changes to the organizational chart layout, feel free to skip this part.&nbsp;<\/p>\n\n\n\n<p>But chances are you\u2019ll <em>want <\/em>to format the org chart, especially in terms of adding nodes.&nbsp;<\/p>\n\n\n\n<p>A node basically means an individual element or box within the chart.&nbsp;<\/p>\n\n\n\n<p>To add nodes to your org chart in Word, select an existing box where you want to add a new node and select the \u201c<strong>Add Shape<\/strong>\u201d drop-down option on the top left <\/p>\n\n\n\n<p><strong>Tip<\/strong>: Make sure you have the &#8220;<strong>SmartArt Design&#8221;<\/strong> tab chosen to see this option<\/p>\n\n\n\n<p>You\u2019ll be asked to select the location of the new box. For example, you can add a new node in the following ways:&nbsp;<\/p>\n\n\n\n<ul>\n<li><strong>After<\/strong>: This adds a new node to the right at the same level.<\/li>\n\n\n\n<li><strong>Before<\/strong>: This adds a new node to the left at the same level.<\/li>\n\n\n\n<li><strong>Above<\/strong>: This adds a new node above (a higher position in the hierarchy).<\/li>\n\n\n\n<li><strong>Below<\/strong>: This adds a new node below (a subordinate position). <\/li>\n<\/ul>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img decoding=\"async\" loading=\"lazy\" width=\"1000\" height=\"666\" src=\"https:\/\/venngage-wordpress.s3.amazonaws.com\/uploads\/2024\/02\/add-nodes-org-chart-word.gif\" alt=\"add nodes org chart word\" class=\"wp-image-83101\"\/><\/figure><\/div>\n\n\n<p>If you want to delete or remove nodes from an organizational chart, just select it and press \u201c<strong>Delete<\/strong>\u201d on your keyboard.&nbsp;<\/p>\n\n\n\n<p>If you want to reposition an existing node, pick one of the following options from the \u201c<strong>Create Graphic<\/strong>\u201d tab (make sure you have the box selected).<\/p>\n\n\n\n<ul>\n<li><strong>Promote<\/strong>: Moves the selected node one level up in the hierarchy.&nbsp;<\/li>\n\n\n\n<li><strong>Demote<\/strong>: Moves the selected node one level down in the hierarchy.<\/li>\n\n\n\n<li><strong>Move Up<\/strong>: Shifts the selected node up one position at its current level in the hierarchy.<\/li>\n\n\n\n<li><strong>Move Down<\/strong>: Shifts the selected node down one position at its current level.<\/li>\n<\/ul>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img decoding=\"async\" loading=\"lazy\" width=\"1000\" height=\"666\" src=\"https:\/\/venngage-wordpress.s3.amazonaws.com\/uploads\/2024\/02\/reposition-nodes-org-chart.gif\" alt=\"reposition nodes org chart\" class=\"wp-image-83110\"\/><\/figure><\/div>\n\n\n<p>You can also change the layout of your org chart with one click if you click the &#8220;<strong>Layout<\/strong>&#8221; option under the &#8220;<strong>Create Graphic<\/strong>&#8221; tab. <\/p>\n\n\n\n<ul>\n<li><strong>Standard<\/strong>: A balanced layout with nodes evenly distributed.<\/li>\n\n\n\n<li><strong>Both: <\/strong> Nodes are centered with branches spreading out to both left and right, helping create a symmetrical <a href=\"https:\/\/venngage.com\/blog\/what-is-organizational-structure\/\" target=\"_blank\" rel=\"noreferrer noopener\">organization structure<\/a>.<\/li>\n\n\n\n<li><strong>Left Hanging<\/strong>: Nodes are aligned to the left, creating a left-leaning structure.<\/li>\n\n\n\n<li><strong>Right Hanging<\/strong>: Nodes are aligned to the right, creating a right-leaning structure.<\/li>\n<\/ul>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img decoding=\"async\" loading=\"lazy\" width=\"1000\" height=\"666\" src=\"https:\/\/venngage-wordpress.s3.amazonaws.com\/uploads\/2024\/02\/org-chart-layout-change-word.gif\" alt=\"org chart layout changes in word\" class=\"wp-image-83106\"\/><\/figure><\/div>\n\n\n<p><strong>Note: <\/strong>Layout changes will only happen under this option if you have top-most node selected.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 5 &#8211; Customize the appearance&nbsp;of your org chart<\/h3>\n\n\n\n<p>If you\u2019ve followed all the steps until now, you\u2019ve already got a functional organizational chart.<\/p>\n\n\n\n<p>But Word org chart templates look\u2026boring. All the nodes have the same square shape and same color. There&#8217;s no visual appeal at all. <\/p>\n\n\n\n<p>But don\u2019t worry. With some customization, you can make the org chart look fresh.<\/p>\n\n\n\n<p>For example, maybe you want to use one color to represent the CEO and another to show employees under him\/her. Or maybe you want to give the entire org chart a new color scheme?<\/p>\n\n\n\n<p>To change the colors of your nodes, select the &#8220;<strong>Change Colors<\/strong>&#8221; option under &#8220;<strong>SmartArt Design<\/strong>&#8221; and pick a new color scheme. <\/p>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img decoding=\"async\" loading=\"lazy\" width=\"1000\" height=\"666\" src=\"https:\/\/venngage-wordpress.s3.amazonaws.com\/uploads\/2024\/02\/change-colors-org-chart-word.gif\" alt=\"change colors org chart word\" class=\"wp-image-83120\"\/><\/figure><\/div>\n\n\n<p>You can also change the colors of each node manually by selecting the node and then the &#8220;<strong>Shape Fill<\/strong>&#8221; option under the &#8220;<strong>Format<\/strong>&#8221; tab. <\/p>\n\n\n\n<p>What about changing the shapes of the nodes?<\/p>\n\n\n\n<p>That&#8217;s possible too in Microsoft Word too.
